CBSE warns schools it will reject incomplete requests to correct student details

NEW DELHI: CBSE has told its affiliated schools that it will summarily reject incomplete requests for correcting a student's name, date of birth or other personal details, and has asked schools to stop letting such cases drift to the Board, to lawyers or to court.

The circular, CBSE/Co-ord/Correction in demographics/2026 dated 23 September and signed by Controller of Examinations Dr Sanyam Bhardwaj, lands a day before the List of Candidates window for the 2026-27 board examinations opened. That timing matters, because the LOC is one of the stages where the Board expects schools to catch mistakes before they reach a mark sheet.

Twenty chances, and still errors

The Board lays out the checkpoints it already provides. Details are to be recorded correctly in the admission form, scholar register and admission withdrawal register. The transfer certificate must carry the same particulars. Registration in Class IX is verified and certified by parents and the school, and a correction window follows. Schools are to download registration cards and hand them to students to check.

In Class X, the Class IX registration data is shown again before LOC submission, with another round of parental confirmation, and a further correction window after it. Admit cards carry an undertaking from the student, parent and Principal that the details are correct. Schools can still send correction requests before results. After results, the passing documents again carry an undertaking.

The whole sequence is repeated in Classes XI and XII. By the Board's own count, that adds up to about 20 opportunities to get the details right. Even so, it says it receives a large number of correction requests as soon as results are declared.

What is going wrong

The circular lists the problems CBSE sees in the requests that do arrive. Schools send incomplete applications. Supporting records from every previous school the student attended are missing. Some documents are not legible, some carry many cuttings, and when the Board writes back asking for papers, many schools do not reply. All of this delays processing.

CBSE has now issued four directions for strict compliance. Schools must make sure demographic details in all school records are fully correct. They must follow the Board's instructions during registration and LOC submission. They must get parents to confirm the details. And when they seek a correction, they must send certified records from all previous schools the student attended.

Requests that arrive incomplete will be summarily rejected, the circular says.

Students told to go through schools

The Board has also flagged a pattern on the student side. Some students write to CBSE directly. Some send legal notices. Some approach the courts. CBSE says these routes delay a decision because it does not have the school records it needs, and it wants schools to guide students to route requests through the school instead.

Copies of the circular have gone to the heads of Kendriya Vidyalaya Sangathan, Navodaya Vidyalaya Samiti, the Directorate of Education in Delhi, the Chandigarh school directorate, the education departments of Sikkim, Arunachal Pradesh and the Andaman and Nicobar Islands, the Sainik Schools Society and the Army Education directorate, among others, with a request to pass the instructions to their schools.

For parents of Class X and XII students, the practical step is simple and immediate. The LOC data now being finalised by schools is largely the same data that will be printed on the 2027 mark sheet. Checking the spelling of names, parents' names and the date of birth against the birth certificate and earlier school records at this stage costs far less time than a correction request after the result.
